The Agency has two different attendance policies.
One applies to our office-based and school-based services.
One applies to our in-home services.
Please review the one that applies to the services you are receiving or plan to receive from the Agency.
Attendance Policy
Child & Family Agency is committed to providing clients the best possible care for everyone they serve. For this to be possible regular attendance is essential and therefore the following attendance policy needs to be adhered to:
- Arrive on time to scheduled appointments and cancel 2 business days prior to the appointment time.
- If you are more than 15 minutes late for your appointment, your appointment will be cancelled and coded as DNKA (Did Not Keep Appointment).
- Late cancellations (less than 2 business days notice) and inability to reschedule appointment within the same week (Friday appointments to the following Monday) will be coded as a DNKA.
- If you or your child is sick and cannot attend the session, please contact the office as soon as possible to reschedule. The administration staff will make every effort to reschedule the appointment within the same week. 3 cancellations in a 2 month period will result in consultation with the Engagement Specialist and supervisory team to determine engagement needs and/or scheduling options.
- After 2 DNKAs, Engagement Specialist will contact you to discuss barriers to attending your sessions and scheduling options.
- If you or your child DNKA or have multiple cancellations in a 2-month period, you will not be able to schedule appointments ahead of time with your clinician. You will be required to call the office and request a same day appointment; same day appointments are not guaranteed.
- In order to maintain services you and/or your child must attend at least one appointment every 30 days.
- If attempts to establish an alternative scheduling protocol or level of care fail, services will be discontinued.
Definitions:
- DNKA-NS (No Show) – misses the appointment without notifying CFA or arrives 15 minutes late for the scheduled appointment
- DNKA-LC (Late Cancellation) – notifies CFA less than 2 business days before their appointment
- Cancellation (CANC)– notifies CFA at least 2 business days in advance that they will miss their appointment and cannot schedule another time during the same week or late cancel due illness, weather related, or emergencies
- Cancellation (Clinician/Agency Cancel) – the clinicians and/or the agency has to cancel the session and it is unable to be rescheduled within the same week
- Same Week Reschedule (RS): the client or caregiver calls to cancel and is able to reschedule for the same week. Note: a client scheduled on Friday that late cancels may reschedule for the following Monday.
*Engagement Specialist is charged to work with clients who are struggling to regularly attend their appointments. They will work with you to reduce barriers and determine the best service for you and/or your child; referring to a different service when appropriate.

Attendance Policy for In-home Programs
Child & Family Agency is committed to providing clients the best possible care for everyone they serve. For this to be possible regular attendance is essential and therefore the following attendance policy needs to be adhered to:
- If you are unable to attend your appointment, you must cancel your appointments 2 business days prior to the appointment time.
- If you are more than 15 minutes late for your appointment, your appointment will be cancelled and coded as DNKA.
- If you late cancel (give less than 2 business days notice) and are unable to reschedule your appointment within the same week or Friday appointments to the following Monday, your appointment will be coded as a DNKA.
- After 3 DNKAs over the course of treatment, services will be discontinued.
- The CFA clinical staff will work with you to reduce barriers to help you or your child regularly attend appointments and determine if you or your child are in the appropriate service.
- In order to maintain services you or your child must attend at least one appointment every 30 days.
- If attempts to engage in services and/or you do not meet as often as your program requires, services will be discontinued and we will help you find a more appropriate service for your family.
